Pic Booth Booking Terms

These terms apply to every photo booth rental booked through Pic Booth (picbooth.ca). They cover how bookings work, our deposit and cancellation policy, what's included in your service, and how guest photos are handled. If anything below is unclear, reach out before booking — we'd rather clarify upfront than surprise you later.

1. Booking and Payment

Your booking is confirmed when we receive both a signed contract and your $100 deposit. Until both are received, your event date is held tentatively but not reserved.

Deposit

A flat $100 deposit is required to secure your date. The deposit is applied toward your final balance and is non-refundable in all circumstances (see Section 2 for details).

Final balance

The remaining balance is due no later than 14 days before your event date. We accept e-transfer, credit card, and cash. Corporate clients may request invoicing terms — contact us before booking if you need 30-day terms or a purchase order.

Late payment

If the balance is not received by 14 days before the event, Pic Booth reserves the right to release the date. Late payments do not constitute automatic cancellation, but we cannot guarantee service if payment is delayed past 7 days before the event.

2. Cancellation and Rescheduling

The $100 deposit is non-refundable in all cancellation scenarios. Refunds of the balance depend on how much notice is given.

Cancellation by client

If you cancel your event, the following applies to any balance already paid (the deposit is always retained):

  • More than 60 days before event: 100% of any balance paid is refunded.
  • 30 to 60 days before event: 50% of any balance paid is refunded.
  • Less than 30 days before event: No refund of balance paid.

Rescheduling

We'll do our best to accommodate date changes at no extra charge if requested at least 30 days in advance and the new date is available on our calendar. Reschedules requested with less than 30 days' notice may be subject to a $200 administrative fee. The original deposit applies to the rescheduled date.

Force majeure

If your event cannot proceed due to circumstances genuinely outside both parties' control — government-mandated closures, severe weather warnings, venue emergencies, or similar — we'll work with you in good faith to reschedule. The deposit transfers to a new date within 12 months. If no rescheduled date is feasible within 12 months, the deposit becomes a credit toward future booking.

Cancellation by Pic Booth

In the unlikely event Pic Booth must cancel (equipment failure with no backup, illness, etc.), we'll provide as much notice as possible and refund 100% of all monies paid, including the deposit. We'll also help connect you with another reputable Niagara-area operator if available.

3. Service Delivery

Setup and teardown

Pic Booth arrives 60-90 minutes before your booked start time for setup. Teardown takes approximately 30 minutes after your booked end time. Setup and teardown are included in your package and do not count against your run time.

Run time

Your booked hours are continuous run time. Idle time, where the booth is set up but not actively in use (e.g. during dinner service), can be arranged at the discounted rate noted in your contract — please request this at booking, not on the day of the event.

Venue requirements

You're responsible for ensuring the venue has:

  • Adequate space for the booked booth (specs provided in your booking confirmation)
  • Standard 110V grounded electrical outlet within 25 feet of the booth location
  • Indoor or covered outdoor location (most booths are not suitable for direct sun, rain, or temperatures below 5°C / above 30°C)
  • Reasonable load-in access (we can navigate stairs and tight corridors but please let us know in advance)

What's included

The specifics of your package — booth type, run time, prints, props, attendant hours, custom branding, gallery delivery — are all detailed in your booking confirmation. If anything in the confirmation differs from what was discussed, contact us before signing.

4. Image Rights and Usage

Guest photos

Photos taken by guests at your event are made available to those guests through our digital gallery system. Guests retain personal-use rights to their own photos. Pic Booth retains the right to use a representative selection of event photos for portfolio, marketing, and case study purposes — including on this website, social media, and proposal materials.

Opt-out for sensitive events

If your event has privacy considerations (e.g. corporate events with NDA requirements, private celebrations involving minors, or weddings where guests have specifically requested photo privacy), let us know before the event. We'll mark your event as portfolio-restricted in our system and will not use any photos for marketing without your explicit written approval.

Licensing of marketing photos

Photos featured on picbooth.ca and our marketing channels are © Pic Booth. To license any image for commercial use, contact us at picbooth.ca/contact. Standard commercial licensing rates apply.

Custom branding rights

Logos, designs, and branded overlays you provide for use at your event remain your property. Pic Booth uses these materials only for your event and does not redistribute or reuse them without your permission.

5. Equipment and Liability

Equipment damage

Photo booth equipment is professional gear with replacement values ranging from $3,000 to $25,000 per unit. Guests should treat the equipment like any other professional service equipment at the venue. Accidental damage from normal use is covered by Pic Booth's insurance. Damage caused by deliberate misuse, intoxication-related incidents, or vandalism may be invoiced to the booking client at repair or replacement cost.

Service issues

Equipment occasionally encounters technical issues. If a problem occurs during your event, we'll work to resolve it as quickly as possible. If a portion of your booked run time is lost due to equipment failure on our end, we'll provide a prorated refund or credit for the affected time.

Liability cap

Pic Booth's maximum liability for any service-related claim is limited to the total amount paid for your event package. We carry $2 million in general liability insurance and can provide a Certificate of Insurance to your venue on request.

6. Privacy and Data Handling

Some of our booth packages include digital gallery delivery, QR code photo retrieval, or email/SMS sharing — all of which involve collecting limited guest contact information. We handle this data per our Privacy Policy. In short: we don't sell guest data, we don't add guests to marketing lists without explicit consent, and event galleries auto-expire 90 days after the event by default.

If your event has specific data handling requirements (corporate compliance, GDPR, sensitive audiences), let us know at booking and we'll configure the gallery system accordingly.

7. General Terms

Changes to these terms

These terms apply to bookings as confirmed at the time of contract signing. We may update this page from time to time, but updates do not retroactively apply to bookings already in progress.

Governing law

These terms are governed by the laws of the Province of Ontario, Canada. Any disputes will be handled through the courts of the Niagara Region.

Severability

If any section of these terms is found to be unenforceable, the remaining sections continue to apply.
